Wardog Assistant ("the bot") is a Discord bot that tracks WARDOGS player progress for Discord servers. This policy explains what the bot stores, why, and how to have it removed.

Wardog Assistant is an independent project. It is not affiliated with Discord, the makers of WARDOGS, or the WARDOGS Database (wardogs.tools).

What the bot stores

About players who link a WARDOGS profile (with /link-wardogs):

• Your Discord user ID.
• The wardogs.tools profile link you gave it.
• Stats read from that public wardogs.tools profile: in-game name, WARDOG level, role levels and XP, total XP, cash, gold, worth, global rank, recent gains, and whether wardogs.tools is still tracking your account.
• For each Discord server where you use the bot: your rank there, when you were promoted (up to your last 20 promotions), and whether you've left that server.
• When your stats were last updated.

About Discord servers that use the bot:

• The server's ID and the settings its admins choose: announcement and alert channel IDs, rank thresholds, milestone levels, weekly recap schedule, and whether rank roles are on.

What the bot does not store

• Message content. The bot does not read messages in your server.
• Your Discord username, display name or avatar. These are fetched from Discord when a profile card is shown, not saved.
• Passwords, email addresses, payment details, or your Steam or WARDOGS login. The bot only reads public wardogs.tools profile pages.

How the data is used

• To show profiles, ranks, leaderboards, clan stats, milestones and weekly recaps in the servers where you use the bot. Linking your profile in one server does not put you on another server's leaderboards; you appear in a server only after using the bot there.
• To give you rank roles in servers that have them turned on.
• To refresh your stats automatically, by re-reading your public wardogs.tools profile about every 30 minutes.
• To send you a one-time private message if the WARDOGS Database stops tracking your account, explaining how to get your stats updating again. The message has a button to turn these reminders off.

The data is not sold, not used for advertising, and not shared with anyone outside the servers described above.

Who can see it

• Members of a server where you use the bot can see your stats and rank through its commands and posts.
• Server admins can download a backup of their own server's member data. They cannot see any other server's data.
• The bot's developer can access all stored data in order to run the bot, fix problems, and keep backups.

Where it's kept, and backups

The data is stored on a private server hosted by DigitalOcean. A backup copy is made once a day and kept in a private, admin-only Discord channel belonging to the bot's developer, so the data can be recovered if the server fails. Backups are deleted automatically after 30 days.

How long it's kept, and removing it

Your data is kept while your profile is linked. To remove it:

• Run /unlink in any server that uses the bot. After you confirm, your link, stats, ranks and promotions are deleted straight away, in every server, and your rank roles are removed.
• Or ask an admin of a server to run /admin unlink on you. That removes you from that server; if you aren't in any other server that uses the bot, everything about you is deleted.
• Or ask the developer through the support server below.

Deleted data can remain in daily backups until those are deleted automatically, at most 30 days later.

If a server removes the bot, its settings are kept in case it's added back. A server admin can ask the developer to delete them.

Children

Discord requires users to be at least 13 (or older where local law says so). The bot is intended for Discord users who meet Discord's age requirements.

Changes

If this policy changes, the new version will be posted at this same link with a new "Last updated" date.
